The page is where Admins update student records for the entire school. (By default, teachers can update students on the page, but since changes affect all teachers, you may want to restrict them.) First and Last names are for official records. Their Preferred Name is what appears in gradebooks and informal reports. ID # is a unique identifier for each student. Typically this is numbers, but it may include letters. This is important to distinguish students who have the same name. If you leave this blank, it will auto-generate an ID number for new students. If you allow the Self-Enroll feature, students can choose their own ID. Passwords are generated automatically when you add a new student, so you don't actually edit it on this page. You can view and reset their passwords on the page (select a student or click the "Show Schedule" button if you don't see it). Email addresses are required for emailing reports, and they allow students and parents to reset their own password if they forget, but otherwise it is optional. You may list more than one email address for each student and parent. Students and parents may update their own email addresses when they login (but students cannot change or remove their parents' email addresses). The Staff email is useful for sending reports to a student's counselor, special ed. teacher, coach, etc. See Email Parent info makes it easier for teachers to email and phone parents when needed. (Not available for Adult Education) Address is used for mailing report cards and login instructions. Alert Parents — Send automatic email alerts to parents whenever a student is absent, missing assignments, and/or has low grades. See Email Alerts for Parents. (Not available for Adult Education) Grade Level appears on Report Cards, and it lets you select students by grade, e.g., to print all 3rd grade report cards. Students are automatically promoted every year, so you only need to adjust those who are held back. (Not available for Adult Education) Homeroom identifies which teacher to show at the top of Report Cards. This also may affect Attendance Reporting — see details. You can click the "Bulk Edit" button to set Homeroom blank for all students; this is useful when starting a new school year. Leave Homeroom blank if not applicable. (Not available for Adult Education) Language is used to automatically translate reports and emails to Spanish. See details Gender is used only for reporting purposes. Birthdate is for information only. Ethnicity is used only for reporting purposes. You can customize the list of ethnicities on the page. Custom checkboxes let you identify which students are in Special Ed, Gifted/Talented, English Learners, At Risk, athletes, etc. You can customize the checkboxes on the page. This is used only for reporting purposes, e.g., to check eligibility of all athletes.
